Record of Current Holdings - is achieved by recording the receipt and dispatch of all cylinders and pallets for the month, from the supplier, as well as internally.

Dangerous Goods Legislation Compliance - Information from the return of cylinders is utilised to create a Dangerous Goods Transport/Return Docket as required by the Dangerous Goods Legislation.

This document should be printed out in duplicate and doubles as a proof of return docket, signed and dated by the driver picking up the cylinders. One copy is given to the driver and the second copy is retained by you as proof of return. This docket can also be used to ensure cylinders were credited to your account on the date they were picked up.

Reduce Cylinder Holdings - By establishing a routine delivery/pickup time, you are then able to establish a 1 for 1 receipt/return policy, reducing your holdings and reducing costs. It also allows you to forward plan your gas requirements for any major projects. This ensures the required cylinders are received at the appropriate time. It also allows you to ensure cylinders are returned systematically when empty. By creating this routine, you maintain control of your cylinders and there is less chance of loss.

Audit Schedules - An initial audit for the drop point needs to take place to establish a baseline. Once that is established, you request the supplier to carry out a quarterly cylinder audit. By doing this, if you have lost a cylinder, you tell the supplier to stop the daily rental and charge your account for the missing cylinder. The main thing is to stop the daily rental charges.
Later on if a lost cylinder is returned by someone, with the bar-coding program they have in place, the cylinder should be credited back to your account and a refund issued. In the mean time, you have saved the daily rental charges until the cylinder is returned.

If the supplier isn’t available to carry out an audit, inform them you will carry out the audit yourself and forward them your results. At least then there is a record on file.
